Alcoholic Beverage Service
The sponsoring organization must present evidence of liquor liability insurance to TheTimesCenter. All alcoholic beverage services require approval.

Backstage Access
Only authorized personnel have access to backstage areas. Performers, crew, and company personnel shall enter and exit through authorized access doors only.

Capacity
In no case shall event attendance exceed the venue's established capacity.

Cancellations
Events canceled with more than two months notice are subject to the forfeiture of 50% of the basic fees and any direct costs incurred. Events canceled less than two months will result in the forfeiture of all deposited fees and all direct costs incurred by TheTimesCenter.

Catering
All caterers used for events must be pre-approved by TheTimesCenter. A list of approved caterers is available. All caterers must participate in pre-event and post-event walkthrough inspections.

Catering Equipment
The user shall provide, or have the caterer provide, the following equipment: Dollies/hand trucks, floor mats for bars and prep areas, tables and chairs, trash cans, and cleaning equipment.

Cleanup
Facilities shall be restored to conditions found prior to use. Clean up must be completed by midnight unless prior arrangements have been made. Additional charges of $450 per hour may be incurred after midnight.

Code Compliance
Users of the facilities and their subcontractors are required to comply with requirements of all state and federal regulations, as well as ordinances and regulations of the City and County of New York, including Safety and Health, Fire and Life Safety, and all other applicable laws. Events may be subject to cancellation for noncompliance with codes.

Deliveries
All deliveries must be received at the designated loading dock, located near the corner of Eighth Avenue and 41st Street. Users are responsible for personnel costs for the loading, unloading, or transporting of their deliveries. The Director of Operations shall coordinate the time and location of all deliveries.

Deposits/Payment
A non-refundable 25% license fee deposit is required upon submitting the User Agreement. A deposit for 50% of additional fees is due two months before the event start date. The remainder of the license fee and additional fees is due one month prior to the event.

Event Staffing
Security and janitorial costs will be charged to the user as will any required house staff, ticket takers, ushers, and technical production personnel. TheTimesCenter shall determine appropriate staffing for all events.

Fundraising Activities
The facilities shall not be used for fundraising purposes without written authorization from TheTimeCenter's General Manager. A letter on organizational letterhead must be submitted stating the purpose and benefactors of the proposed fundraising activity.

Insurance
Users are required to have Comprehensive General Liability Insurance coverage of up to $1 million, in effect during their entire use of the facilities. They are also required to have Workers' Compensation in amounts of $1 million per accident. A Certificate of Insurance is required, naming the following as additional insured:

TheTimes Center; The New York Times Company; Forest City Ratner; The Related Real Estate Company and their officers, agents and employees.

The serving of alcoholic beverages requires liquor liability insurance in amounts of not less than $1 million.

Merchandise
Merchandise sales—e.g., T-shirts, CDs, or novelties—require approval one week in advance and shall be set up no later than one hour prior to curtain.

Nondiscrimination
There shall be no discrimination against nor segregation of any person or group of persons on account of race, color, religion or creed, national origin or ancestry, sex, gender identity or sexual orientation, age, marital or domestic partner status, political affiliation, or disability (including HIV or AIDS status) in the use or licensing of TheTimesCenter Facilities, nor shall the user or any person claiming under or through the user, establish or permit any such practice or practices of discrimination or segregation with reference to the selection, location, number, use or occupancy of user, patrons, lessees, or vendees of the Center’s Facilities or any parts thereof.

Permits
All events, as applicable, require proof of permits (e.g., fire, health, cooking, alcohol, and sound) indicating code compliance.

Technical Requirements
Required technical equipment must be arranged with TheTimesCenter Director of Operations at least one month prior to the date of the scheduled event. TheTimesCenter must coordinate and/or operate all technical operations and approve equipment rentals.
